Baap CRM guide

How to implement Baap CRM

A practical, phase-by-phase guide for sales leaders and project owners: what to decide, what to prepare and what to check before your team goes live.

Phase 1 of 7

Plan

Agree what the CRM must do on day one.

  • Name an owner on your side who can make decisions
  • List your sales teams, regions and who reports to whom
  • Write down how a lead becomes a customer today, step by step
  • Pick the three to five numbers you want to see every week, such as new leads, follow-ups due and deals won
Phase 2 of 7

Prepare your data

Clean data is the biggest factor in a smooth go-live.

  • Export contacts, companies and open deals from spreadsheets or your old CRM
  • Remove duplicates and fill in missing owners and phone numbers
  • Agree one list of lead sources, such as website, WhatsApp, referral and events
  • Decide which history to bring across and which to archive
Phase 3 of 7

Configure

Set Baap CRM up around how you sell.

  • Pipeline stages, with a clear rule for moving a deal to each stage
  • Custom fields your team actually fills in
  • Roles and permissions for reps, managers and admins
  • Quotation templates and follow-up reminders
Phase 4 of 7

Connect

Link the channels and systems your team already uses.

  • Email, SMS and WhatsApp for bulk messages and conversation history (Meta message fees are passed through at cost)
  • Website and campaign forms that create leads automatically
  • The AI Voice Agent, which logs every call to the lead
  • Other systems through AI Workflow Automation, webhooks and APIs
Phase 5 of 7

Set up field sales

Only if you have reps on the road.

  • Install the mobile app for field reps
  • Set visit schedules and check-in rules
  • Agree when live location is shared and tell your team
  • Show managers the live map and visit reports
Phase 6 of 7

Train and go live

Make the CRM the one place work happens.

  • Train reps and managers separately, on their own daily tasks
  • Run old and new processes side by side for a short, agreed period
  • Switch off the old spreadsheet or tool on a set date
  • Keep a channel open for questions in the first weeks
Phase 7 of 7

Review and improve

Use what you learn after go-live.

  • Check the weekly numbers you chose in the plan phase
  • Remove fields and stages nobody uses
  • Automate the follow-ups reps still do by hand
  • Add new teams or products once the first team is settled

CRM implementation FAQ

How long does a Baap CRM implementation take?

It depends on how much data you bring, how many teams go live and which systems you connect. The plan phase sets the timeline with you before configuration starts.

Can you import data from our current CRM or spreadsheets?

Yes. We import your existing contacts and deals. Cleaning duplicates and filling in missing owners before the import makes the switch much smoother.

Do we need to replace our other tools?

No. Baap CRM connects natively with other Baap products such as BoardView, Commerce and the AI Voice Agent. Other systems connect through AI Workflow Automation, webhooks and APIs.

Is field sales tracking required?

No. Field sales is optional. Teams that sell from the office can skip that phase.

What does it cost?

Baap CRM is included in the BoardView Business plan and above, priced per user. See the pricing page or ask for a quote that includes setup.
